会う前から印象が変わる？1通で差が付くメールセミナー～ステラボ～

冬のインターンの申込や実施が始まり、企業へメールや電話を送るという経験をした人もいるのではないでしょうか？ODLでも、業務の関係上、毎年たくさんの学生さんとメールのやり取りを行います。

今回のステラボは、私たちが普段の業務の中で感じる「会う前から印象の良いメールの特徴」「企業にメールを送る際の注意点」を伝える内容となりました！

人生で一番輝いていた瞬間

ステラボは各回テーマを設けた少人数制の就活ガイダンスです。今回のテーマは『会う前から印象が違うって知ってた？1通で差が付くメールセミナ－』でした。

ずっと話を聞くだけもつまらないと思うので、普段から半分レクチャー、半分ワークのバランスで進めています。参加は定員8名と少人数ですが、初対面同士の学生さんでもリラックスして参加してもらうために、冒頭にアイスブレイクを用意しています。

 

この日のアイスブレイクは『スパークリングモーメント』。人生で一番輝いていた時のエピソードを1人ずつ話してもらいました。

「どれだけ食べても太らなかった高校時代」「職人並みの泥団子づくりで人気者だった幼稚生のとき」「うらじゃに習い事にと飛び回っていた大学1年生」など、参加してくれた皆さんの過去が垣間見える楽しいエピソードがたくさん飛び出しました！

メールが重要視される理由

さて、本題ですが、私たちODL就活Caféでは、毎年のようにイベントに参加してくれた学生さんにメールの送り方はとても重要だという話をします。多数のメールを受け取る中で、まだ会ってもいないのに印象の良い学生さんが一定数存在すること、またその人達には共通した特徴があることに気づいたからです。

反対に、「これはちょっと…」と会う前から印象が下がってしまうメールも存在します。メールの送り方一つで、第一印象が左右されてしまうのはとてももったいないですよね。

では、印象が良いメールと悪いメールには、それぞれどんな特徴があるのでしょうか？

これはちょっと…と企業が思うメールの特徴

  1. 必要最低限の情報が入っていない
  2. 簡素すぎる
  3. 期限を過ぎているのに、謝罪の一言がない

これはちょっとな…と思うメールに共通しているのは、「相手への配慮が見えない」という共通点があります。メールの送信・返信に関わらず、所属と名前、件名、用件（返信の場合は求められている回答）を正しく記載していないメールは、あまり良い印象は持たれません。

学生さんにとってはそのメールは1通のみですが、企業にとっては複数の学生さんへ同じ内容のメールを送っています。名前のない返信メールは差出人が誰か分からないので、調べる余分な手間をかけさせています。

 

また、簡素すぎるメールも他と比べて目につくことがあります。簡素すぎるとは、例えばセミナーの出欠返信を求められた時に「名前　参加」とだけ送るようなメールです。確かに最低限の情報は入っていますが、企業への意欲は薄いように感じます。

同様に、返信〆切を過ぎているにも関わらず、何事もなかったように用件だけを伝えられるメールも、顔が見えていないにも関わらず、送り主への印象は下がります。少しのことで大きく与える印象が変わってしまうのです。

印象が良いメールの特徴

そういったメールがある中で、反対に会うのが楽しみになるようなメールを送る人もいます。それらのメールには、下の三つの共通点があります。

  1. 丁寧な「です・ます」調で書かれている
  2. 気配りの一言が添えられている
  3. 連絡のスピードがいつも速い

これらが含まれているメールから共通して読み取れるのは、「自社への志望度の高さ」「丁寧さ」「相手への気配り」です。特に、必要項目に加えて「お会いできるのを楽しみにしています」や「お忙しい所、ご対応いただきありがとうございます」など、一言添えられていると、より丁寧な印象を受けます。

 

また、内容に加えてポイントになるのが、連絡のスピードです。選考過程で連絡を重ねていると、いつも返信が速い人といつも返信が遅い人が印象に残るようになってきます。

ここでのポイントは、「いつも」連絡が速いということ。企業からメールを送信して数時間以内に返ってくると速いなと感じるので、見たらその時に返すことを意識して行うといいでしょう。

実践で注意ポイントが見えてくる

後半では、実際に例題を用意して、参加者の皆さんにメールを送信していただきました。一つは会社訪問の希望日時を返信するメール、もう一つはインターンの問い合わせをするメールです。署名のラインのつけ方や言い回しに苦戦しつつ、協力しながら課題に取り組んでくれました。

実践を通して、誤字脱字を防ぐために事前の見直しをすること、携帯から送る際は行間に注意すること、署名はラインで区切りをつけて見やすくすることなど、それぞれの注意点が見えたようです。

参加者の感想

  • 誤字・脱字が自分のメールも気になりました。一文お礼をつける、つけないでも大きく変わると知ったので、普段から実践してみたいです。
  • メールは決まった形式で書くだけでなく、相手の事を気遣うことが大事だと分かりました。
  • 実際にメールを書いてみて、すごく難しいと感じました。今回参加していなかったら、どんな失礼なメールを企業に送っていただろうと怖くなりました。印象の良いメールの書き方を知ることができて良かったです。
